This Privacy Policy describes how the Scott-Phillips Family reunion website (“we,” “us,” or “our”) collects, uses, and protects your personal information. This website is a private, membership-based site operated by the Scott-Phillips Family to help family members stay connected, coordinate reunions, and share family news. Information We Collect
Account information. When you create an account we collect your name, email address, username, and a password (stored only as a secure cryptographic hash — we never store or transmit your plain-text password).
Profile and family content. Information you choose to add to your profile, and content you upload or post, such as photos, comments, and family-history contributions.
Phone number. If you opt in to SMS notifications or enable SMS two-factor authentication, we collect the mobile phone number you provide for those purposes.
Payment information. Payments and donations are processed by Square, Inc. Your card details are collected and processed directly by Square; we do not store your full card number on our servers. We retain records of completed transactions (amount, date, and item) for bookkeeping.
Cookies and session data. We use strictly necessary cookies (such as a session cookie) to keep you signed in and to protect the site against cross-site request forgery. We do not use advertising or third-party tracking cookies.
How We Use Your Information
We use your information to operate the website: to authenticate you, display family content to signed-in members, send the notifications you have opted in to, process payments and donations, respond to your messages, and keep the site secure. We do not sell your personal information, and we do not use it for third-party advertising.
SMS / Text Messaging
With your consent, we send SMS text messages for: (1) family event notifications and announcements, and (2) two-factor authentication verification codes if you enable SMS two-factor authentication. You opt in to notification texts from the notification subscription prompt shown after signing in, or from the SMS notifications setting on your Profile page, where you provide your mobile number. Two-factor authentication texts are sent only if you explicitly enable two-factor authentication in your Profile security settings. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with or sold to any third parties. Phone numbers and opt-in information are shared only with our SMS delivery service provider, solely as necessary to deliver the messages you have requested.
Message frequency varies. Message and data rates may apply. You can opt out at any time by turning off SMS notifications on your Profile page or by replying STOP to any message. Reply HELP for help, or contact scottphillipsfamilyreunion@gmail.com. Consent to receive text messages is not a condition of creating an account or of any purchase.
How We Share Information
We share personal information only with the service providers that operate the website on our behalf: our SMS delivery provider (message delivery), Square (payment processing), our email delivery provider, and Microsoft Azure (hosting and data storage). Each provider receives only the information needed to perform its service. We may also disclose information if required by law. We never sell personal information.
Data Security and Retention
All traffic to the site is encrypted with HTTPS. Passwords are stored using the BCrypt hashing algorithm. Access to member content requires a signed-in account. We retain your information while your account is active; you may request deletion of your account and associated personal information at any time by contacting us.
Your Choices
You can update your profile information, change your notification preferences (email and SMS), and enable or disable two-factor authentication from your Profile page at any time. To access, correct, or delete your personal information, email us at scottphillipsfamilyreunion@gmail.com.
Children's Privacy
This site is intended for adult family members. We do not knowingly collect personal information from children under 13. If you believe a child has created an account, contact us and we will remove it.
Changes to This Policy
We may update this Privacy Policy from time to time. The effective date above reflects the latest revision. Material changes will be announced on the website.
